How to Use the Travel Budget Calculator
- Select your country, city, travel style, and season. Click Use Smart Estimate if you want to apply the suggested starting figures, then replace them with your own prices.
- Enter the number of travelers, trip days, and hotel nights. A seven-day stay may have six hotel nights; use your actual booking dates.
- Choose one currency and enter every expense in that currency. The calculator’s currency selector changes the displayed symbol; it does not convert amounts.
- Enter accommodation and local transport for the whole group. Enter food, activities, and flights per traveler, using the daily or total basis shown beside each field.
- Add other fixed expenses once for the whole group, then choose a safety buffer. The result updates as you edit the fields.
- Review the breakdown and use Copy, Share Plan, or Print to keep the estimate for your planning.
If you are still choosing the duration, compare how many days your trip should be β before adding hotel nights and daily expenses.
What to Enter in Each Budget Field
| Field | Amount to enter | How it is calculated |
|---|---|---|
| Accommodation | Total nightly cost of all rooms for the group | Nightly group cost Γ hotel nights |
| Food | Daily food cost for one traveler | Daily cost Γ travelers Γ trip days |
| Local transport | Daily cost for the whole group | Daily group cost Γ trip days |
| Activities | Total activity cost for one traveler across the trip | Per-traveler total Γ travelers |
| Flights or long-distance travel | Total flights and intercity fares for one traveler | Per-traveler total Γ travelers |
| Other fixed expenses | Combined group total for extras | Added once |
| Safety buffer | Your selected percentage | Percentage of the subtotal, including flights and other expenses |
For two travelers sharing a room costing β¬80 per night, enter 80 for accommodation, not 160. If each traveler expects to spend β¬30 daily on food, enter 30; the calculator multiplies it by the number of travelers. For a group taxi costing β¬20 daily, enter 20 for local transport.
Use our guide to calculating your daily travel budget β to estimate meals and local spending. If group members have different food or activity budgets, use their average per-person cost in those fields.
Example: A Seven-Day Trip for Two Travelers
This illustrative example uses euros, two travelers, seven trip days, six hotel nights, and a 10% buffer. These are sample inputs, not destination price quotes.
| Expense | Input | Calculated group cost |
|---|---|---|
| Accommodation | β¬80 per group per night | β¬480 |
| Food | β¬30 per traveler per day | β¬420 |
| Local transport | β¬20 per group per day | β¬140 |
| Activities | β¬120 total per traveler | β¬240 |
| Flights / long-distance travel | β¬300 total per traveler | β¬600 |
| Other fixed expenses | β¬100 total for the group | β¬100 |
| Subtotal | Before buffer | β¬1,980 |
| Safety buffer | 10% | β¬198 |
| Total trip budget | For both travelers | β¬2,178 |
The result is β¬1,089 per traveler. The displayed daily averages round to β¬311 per day for the group and β¬156 per traveler per day. These averages include flights and the buffer, so they are not just daily spending money.
Make Your Estimate More Useful
The Smart Estimate uses RoamPlans destination tiers, city factors, travel-style multipliers, and seasonal multipliers. It provides editable starting figures rather than live hotel quotes. Changing a city, style, or season prepares a suggestion; click Use Smart Estimate to apply it. That button does not fill your flight cost, so enter your own fare.
Include taxes, baggage, insurance, visas, mobile data, parking, and other costs wherever they fit, and count each expense once. Set flights to zero if you want a ground-only budget. When changing currency, convert your inputs separately with the currency converter β before entering them here.
For several destinations, use the average nightly cost across all hotel nights and a daily group average for local transport. Sum the intercity fares per traveler. Our multi-city trip planning guide β helps you organize transfers, while the Portugal trip cost guide β shows how route, season, and room sharing affect one destination’s budget.
Frequently Asked Questions
Is the travel budget calculator free?
Yes. You can build an estimate and use the Copy, Share Plan, and Print options without paying for the calculator.
Does the calculator include flights?
Yes, when you enter a value in Flights or long-distance travel. It is a total per traveler and is multiplied by the traveler count. Set it to zero to exclude it, and review the initial value rather than assuming it matches your fare.
Does changing the currency convert the budget?
No. The budget calculator displays amounts using the selected currency symbol. Convert all expense inputs into the same currency separately before comparing totals.
Why are trip days and hotel nights separate?
Accommodation is charged by nights, while food and local transport use trip days. Arrival and departure schedules can make these counts different. Enter the actual number for each.
How do I enter shared expenses?
Enter accommodation for the group per night, local transport for the group per day, and other fixed expenses once for the group. Food, activities, and flights use per-traveler amounts. The per-traveler result divides the total equally; it does not assign individual bills.
Can I save or share my budget?
The calculator attempts to remember inputs in the current browser using local storage. Copy saves a text summary, Share Plan copies a link containing the entered plan details, and Print opens the browser’s print dialog. Browser settings may prevent local storage or clipboard access. Anyone with a shared link can read its plan details, so avoid sensitive information in the trip name.
